Privacy Policy

1. Who we are

This website (visualwise.io) is run by SIA Personības, trading as Visualwise. We are the controller of the personal data described in this policy.

  • Company: SIA Personības (Visualwise)
  • Registration number: 40203177035
  • VAT number: LV40203177035
  • Address: Ledurgas iela 24-42, Rīga, LV-1005, Latvia
  • Email: arturs@visualwise.io

We have not appointed a data protection officer. Send any privacy question or request to arturs@visualwise.io.

2. What this policy covers

This policy covers people who visit our website, fill in our forms, use our free tools, request a report or book a call with us.

If we build software for your company, personal data inside that project is handled under our contract with your company, not under this policy.

3. What data we use, why, and on what legal basis

We only collect what we need for each purpose. The legal bases come from Article 6(1) of the General Data Protection Regulation (GDPR).

4. AI features

The process map tool and the Custom Company Mapping report are generated with an AI model from Anthropic PBC (USA), which we use through its API.

  • For the process map, we send your answers about your company and processes.
  • For Custom Company Mapping, our server reads the public text of the website address you enter and sends it to Anthropic together with your answers.
  • We send only what is needed to produce the map or report.
  • Please do not enter personal data (for example names of colleagues or customers) in free-text fields. The tools do not need it.
  • Under Anthropic's commercial terms, Anthropic may not train its models on this content. Anthropic deletes API inputs and outputs within 30 days in normal cases, and may keep them longer only where needed to enforce its usage policy or where the law requires.

The process map tool keeps your answers in the open page only. They are not saved in your browser, and they reach our server only for generating the map or when you choose to send us the result.

5. Where the data comes from

Almost all data comes directly from you. Two exceptions:

  • Custom Company Mapping: we read the public text of the website you name. If that text contains personal data (for example names on a team page), it is processed only to generate your report.
  • Bookings: Cal.com passes us the details you enter when you book a call.

6. Do you have to give us your data?

No law requires you to give us personal data. But we need an email address to reply to you or send a report, and we need the fields marked as required to handle your request. If you leave them out, we cannot complete it. Optional fields are optional.

7. Our legitimate interests

Where we rely on legitimate interests, they are: keeping the website and server secure, answering business enquiries, and sending one follow-up about a report you asked for. We keep this light and you can object at any time (see section 11).

We do not run a newsletter. We do not send marketing emails beyond what you ask for. If you do not want a follow-up, tell us and we will stop.

8. Who receives your data

We do not sell personal data. We share it only with service providers who process it for us under data processing terms, and only for the purposes above:

ProviderPurposeLocationSafeguard

Cal.com also acts as an independent controller for data it uses for its own purposes; see the Cal.com privacy policy. The same applies to Google for its own purposes; see how Google uses information from sites that use its services.

We may also share data with our accountant or legal advisers when needed for client records, and with public authorities when the law requires it.

9. Transfers outside the EU/EEA

Some providers are based in the USA. When personal data goes there, we rely on the EU–US Data Privacy Framework where the provider is certified under it, and otherwise on the European Commission's Standard Contractual Clauses. You can check a company's certification on the Data Privacy Framework list. Write to us if you want a copy of the safeguards that apply.

10. How long we keep data

  • Server logs: up to 14 days, then they are overwritten.
  • Page-view statistics: daily totals only, with no personal data, kept as long as they are useful for reporting.
  • IP addresses used to limit form and tool abuse: kept in server memory for no more than one hour.
  • Form submissions, report requests and booking details: up to 24 months after our last contact with you. If we start working together, for the length of the relationship and as long as needed for possible legal claims.
  • Email course waitlist: until the course launches and ends, or until you unsubscribe.
  • Accounting records for clients: as long as the Latvian Accounting Law requires (generally at least 5 years).
  • Google Analytics data: for the retention period set in our Analytics account, no more than 14 months.
  • Data sent to Anthropic: deleted by Anthropic within 30 days in normal cases (see section 4).
  • Your cookie choice and other browser storage: see the Cookie Policy below.

11. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you and get a copy;
  • have incorrect data corrected;
  • have your data erased;
  • restrict how we use your data;
  • receive data you gave us in a common machine-readable format (portability);
  • object to processing based on legitimate interests, including follow-up emails;
  • withdraw consent at any time, without affecting what we did before you withdrew it.

Email arturs@visualwise.io to use any of these rights. It is free. We reply within one month; if a request is complex we may extend this by up to two more months and will tell you why. We may ask you to confirm your identity.

To withdraw analytics consent, use the Cookie settings link at the bottom of any page.

12. Complaints

Please contact us first so we can fix the issue. You also have the right to complain to a data protection authority. In Latvia this is the Data State Inspectorate (Datu valsts inspekcija):

You can also complain to the authority in the EU country where you live or work.

13. Automated decisions

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects. The AI-generated map or report is an estimate for your own use. A person at Visualwise reviews every enquiry.

14. Security

The site runs over HTTPS. Form data is stored on our server in Germany, access is limited to the Visualwise team, and server secrets are kept out of the code. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your data.

15. Children

This website is for businesses. It is not aimed at children, and we do not knowingly collect data from anyone under 16.

16. Changes to this policy

We update this page when our services or the law change. The date at the top shows the latest version. If a change matters for data you already gave us, we will tell you by email.

Cookie Policy

1. What cookies and browser storage are

Cookies are small text files a website saves in your browser. Local storage works in a similar way. This policy covers both, and we call them cookies for short.

Under the ePrivacy rules and Article 7.1 of the Latvian Information Society Services Law, we may only store or read such information with your consent, unless it is strictly necessary for a service you asked for.

2. How we use them

  • Necessary storage remembers your cookie choice and small display preferences. It works without consent and is never used for tracking.
  • Analytics cookies from Google Analytics are used only if you choose “Allow analytics” in the cookie banner.
  • We do not use advertising or marketing cookies.
  • We also count page views with our own simple counter. It sets no cookie and stores no IP address or other personal data: only daily totals per page, the referring website, the device type (mobile, tablet or desktop) and a campaign tag if the link had one. It therefore runs without consent.

Until you accept, no Google script loads and no analytics cookies are set. We use Google Consent Mode v2 with all four consent types (ad_storage, analytics_storage, ad_user_data, ad_personalization) set to denied by default. When you allow analytics, only analytics_storage is switched to granted. Advertising features stay off. Google Analytics 4 does not log or store IP addresses.

If you later withdraw consent, we switch analytics off again and delete the Google Analytics cookies from your browser.

The <container-id> part of the second Google cookie name is the ID of our Analytics property.

4. Third-party content

  • Booking: when you open the booking calendar, it loads from Cal.com, which may use its own cookies or browser storage to make the booking work. See the Cal.com privacy policy.
  • Images on case study and blog pages load from Sanity's content network (cdn.sanity.io). Like any web request, this sends your IP address and browser details to Sanity.
  • Fonts and icons are hosted on our own server. No requests go to Google Fonts.

5. Changing your choice

  • Use the Cookie settings link at the bottom of any page to reopen the banner and change your choice.
  • You can delete cookies and local storage in your browser settings at any time. The banner will then appear again.
  • Google offers a browser add-on to opt out of Google Analytics on all websites.

For how we handle the data itself, see the Privacy Policy above.
